Terms and Conditions:
Please read the following terms and conditions thoroughly, as they may affect you.
1. Based Aircraft
1.1 All aircraft resident at Cotswold Airport should purchase a block of movements each year, known as a Cotswold Airport Annual Movement Contract. These are available from Kemble Air Services Ltd (KAS Ltd), who publish the rates for these annually.
1.2 The Annual Movement Contract (within certain limits) can be paid for in the following ways: One single payment in January, Four quarterly by standing order or Twelve monthly payments by standing order
Surcharges apply to quarterly and monthly payments as set out in the Annual Movement Contract and Visitors’ Landing Fees document.
1.3 The Annual Movement Contract to be purchased and standing order agreements to be in place before 31st December and valid for the following year.
1.4 The Annual Movement Contract, Resident Aircraft Fees and Visitors’ Fees represent a contract with KAS Ltd for the provision of landing facilities.
1.5 The movement contract covers a specific aircraft, based on MTOW, for a specific number of movements within the calendar year (Jan 1st – Dec 31st).
1.6 A contract will not normally be transferred to another aircraft. Refunds will not be available for the period an aircraft is in maintenance. Requests to transfer an alternative aircraft to an existing contract should be made in writing to KAS Ltd. An administration fee may be payable.
1.7 Based operators with several aircraft e.g. flying schools may apply to KAS Ltd to have a contract which covers all their aircraft.
1.8 Aircraft leaving Cotswold Airport part way through their movement contract will be refunded only if the operator has
paid for more movements than they have used at the date of leaving. The refund will be calculated:
Leaving date between 1st Jan – 31st March = 75% of unused movements
Leaving date between 1st April – 30th June = 50% of unused movements
Leaving date between 1st July – 30th Sept = 25% of unused movements
Leaving date between 1st Oct - 31st December = no refund
If the operator has used more movements than they have paid for, the balance will be payable to KAS Ltd by the operator prior to departure.
1.9 Operators must give KAS Ltd at least one month’s notice of their intent to leave in order for refunds and /or payments to be managed appropriately. Aircraft leaving without giving written notice may forfeit their right to a refund.
1.10 If an operator exceeds the number of movements they have paid for, KAS Ltd will charge each movement pro-rata, at the applicable rate. KAS Ltd reserve the right to require the operator to purchase another block of movements.
1.11 Movements cannot be carried over to the next year, or refunded, if the operator has used fewer movements than they have paid for.
1.12 All aircraft that do not have a movement contract will be charged at the published visitors’ rates.
1.13 KAS Ltd reserves the right to apply penalty charges to unpaid Annual Movement Contracts.
1.14 By purchasing an Annual Movement Contract, operators are confirming that they have read and will abide by the procedures set out in the Cotswold Airport Aerodrome Manual and current Noise Abatement procedures. If a pilot or operator is deemed to have abused or violated these procedures, these concerns will be communicated in order to improve general safety and airmanship at the airport. In cases of continued violation, KAS Ltd reserve the right to cancel the contract, in which case no refund will be offered.
1.15 Flying training may only be conducted with the written consent of KAS Ltd.
2. Visiting Aircraft
2.1 Aircraft which are not based at Cotswold Airport may, at the Airport Manager’s discretion, buy a movement contract. They will be subject to the relevant terms & conditions as set out in Section 1.
2.2 Visiting aircraft must pay fuel,landing and circuit fees at the standard published rates. These fees are payable in the Operations Room on the first floor of the Control Tower on arrival. Initial parking is inclusive in the landing fee until midnight on the day of arrival. Aircraft maintenance and hangarage will be charged seperately.
2.3 Fees not settled on the day will be subject to a minimum administration charge of £25 plus VAT with payment terms strictly seven days from invoice date.
2.4 Visiting aircraft from outside the UK must file a completed General Aviation Report (GAR) to Kemble Operations. KAS Ltd reserve the right to charge an additional administration fee, where it is deemed necessary, in order to cover the bank charges incurred by international funds transfers.
2.5 Cotswold Airport is not a Customs and Excise Airport, therefore all invoices, including those for overseas visitors, will have VAT added at the appropriate rate.
2.6 Credit card transactions may attract a 2% surcharge.
2.7 Emergency diversions: Aircraft will be allowed a free landing in the case of a necessary emergency or weather diversion, at the Airport Manager’s discretion. A maximum of one night’s free parking may also be given.
2.8 Training flights may be conducted to and from Cotswold Airport with PPR; any other training tasks may be conducted at the Airport Manager’s discretion.
3. Fuel
3.1 All fuel uplifts must be paid for on the day as no credit facilities are offered.
3.2 Fuel purchases not settled on the day will incur a minimum invoicing administration charge of £25 plus VAT. Fuel invoices are payable immediately.
3.3 Regular fuel customers may apply to lodge details of a form of direct payment with the accounts department, and a receipted invoice will follow by post.
3.4 Requests for fuel uplifts of 2300 litres or more must be made in writing either by fax or email to
ops@cotswoldairport.com.
4. Extension of airport hours
4.1 Cotswold Airport hours of operation are: 09:00 to 17:00 (Local time) or sunset, whichever is earlier.
4.2 Additional charges for out of hours movements for VCR and RFFS cover will apply outside these hours:

Charges are per hour and do not include VAT. Part hours charged at full hourly rate.Charging will begin half an hour before the notified arrival or departure time. Any extension of airport hours on Bank Holidays can incur an additional 25% surcharge on the standard rates at the discretion of the airport manager.
4.3 For flights conducted out of hours and not requiring services, an out of hours Indemnity form must be completed. Pilots operating in these circumstances do so entirely at their own risk, however the airport reserves the right, when in a position to do so, to supply services on a duty of care basis and standard out of hours charges will apply.
4.4 If an out of hours movement is at such a time that Cotswold Airport staff must wait on the premises after the close of business, waiting time will be charged:

Charges are per hour and do not include VAT.
Waiting time will also be charged if Cotswold Airport staff are kept in post due to a late arrival/departure.
4.5 All fixed wing jet aircraft over 5 tonnes will require a minimum of Category 2 fire cover.
4.6 Additional staff e.g. refueller will be charged at £50 + VAT per man hour. Waiting time will also be charged.
4.7 Visiting aircraft must give as much notice as possible to use the airport out of hours. If a request for an extension of airport hours is cancelled, at least 24 hours notice is required. KAS Ltd reserve the right to charge for cancellation at less than 24 hours, and non-attendance of the aircraft without prior cancellation will result in full fees being payable.
5. Additional services
5.1 Requests for additional services must be made in writing and confirmed by KAS Ltd before the service is granted.
5.2 KAS Ltd reserves the right to adjust the charge for any service at any time.
5.3 Payment terms are 7 days from the invoice date with the exception of fuel, for which payment is due immediately. KAS Ltd reserves the right to apply late payment interest charges accordance with the Late Payment of Commercial Debts (Interest) Act 1998 and Late Payment of Commercial Debt Regulations 2002.
5.4 Emergency unplanned call out charges may apply.
6. Aircraft Handling
6.1 All commercial aircraft over 2750kg MTOW are required to be handled by KAS Ltd or one of their approved agents.
6.2 Handling chages can be obtained from KAS Ltd by telephoning Airport Operations on 01285 771177 or emailing ops@cotswoldairport.com or by contacting one of their approved agents.
